Submission Procedures


Below are several important guidelines to keep in mind when sending mail to your writing consultant.  


1. Papers and letters sent to a writing consultant should be sent as plain e-mail text, or as an  attachment in MS Word format. You may not include scanned images, or clip art, or animated graphics in your e-mail. 

2. Your writing program comes with a 24-hour guaranteed response time.  That means if you write to your writing consultant today, you'll either receive a response within several hours, or by the next day.  If for any reason you don't hear from your writing consultant within 24 hours of sending him or her some mail, DO NOT simply sit back and wait for a response!  E-mail our office at office@writeguide.com, or give us a call at (603) 343-4409 and explain what's going on.  Our writing consultants aren't allowed not to respond within 24 hours, and we have copies of all their mail.  We can therefore send you a copy of any mail that you might be missing.   

3. As a parent you can write to your writing consultant once per day, even if your son or daughter has already written to your writing consultant on a particular day.  The maximum number of e-mails that may be sent to a writing consultant from a given family (assuming the family has only enrolled in one course) is two: one from the student, and one from the student's parent.  Additional e-mails sent to a writing consultant will be automatically deleted by our office system, and the consultant will not know that you tried to send an additional piece of mail. 

4. Whenever you write to your writing consultant, you must include your client code in the Subject field of your e-mail.  Client codes are given to you when you enroll.  If you don't include your client code, you'll receive an automated response from our office explaining that we have no way of identifying who you are without that code.   You should then resend your mail immediately so you can get a response from your writing consultant as soon possible.  

5.  Copies of mail cannot be sent to a "second" e-mail address.  The reason is because doing so encourages parents to remain silent observers of the course - and our course is not meant to be observed, but instead to be participated in by parents. 

6. At no point should you ever send an e-mail address, phone number, or physical address to your writing consultant.  That information is kept confidential here in our office.  Although it may look as though you're sending mail directly to your writing consultant when you write to him or her, your mail actually goes through our office system first, where it is processed, screened, and archived.  All personal contact information is removed from your mail when it enters our office system. 

7.  If you want your children to receive mail from their writing consultant at their own personal e-mail address, you must have the children write to the writing consultant from their own e-mail addresses.  Mail sent by your writing consultant will always be sent to the address from which you (or your children) sent it.  

8.  If two siblings are sharing a program and both students write in on the same day, one of the two students (whichever one wrote in last) will receive a message from our office explaining that it isn't possible to submit two e-mails to your writing consultant in the same day.  The second piece of mail will then be deleted from our computer system, and you'll need to send a fresh copy to your writing consultant after the other student has received his or her mail for the day.  

9.  If you send an attachment to your writing consultant, please be aware that you can only send one attachment per day.  Therefore, if you have several sections of one paper in several different MS Word documents on  your computer, you should combine them into one document in order to send them to your writing consultant.  

10.  Students and parents should always make a point of beginning their messages to their writing consultants with a proper salutation (i.e. "Dear Mr./Mrs. _____").  Likewise, students and parents should always sign their names in an e-mail sent to a writing consultant.  This is particularly important when more than one family member uses the same writing program.
